Guide
How to take room and hall bookings on your website
A clear way for people to ask about hiring your hall or rooms.
Describe each space
List each room or hall with its capacity, what is included, and a photo of the space without people in it. Plain facts help people decide quickly.
State the price and the rules
Show hire prices or say how to get a quote. Add the rules in a few lines, such as opening hours, noise, food and what the space cannot be used for.
Keep the request form short
Ask only for the date, start and finish time, number of guests, the purpose and a contact name and email. A short form gets more enquiries.
Say when you will reply
Tell people how long a reply usually takes, and who answers. Check the inbox daily so enquiries do not go cold.
Keep a shared calendar
Record every booking in one calendar that the whole committee can see. This stops double bookings and makes it easy to answer availability questions.
